Office Services – Law Office

The Opportunity

Do you have previous experience working in a Law Office? Our Calgary client is looking for an Office Services Technician to help support their team!

Key Account Responsibilities and Functions

  • Provide document production services to all departments.
  • Maintain strong working relationships with internal customers.
  • Mitigate business technology issues.
  • Maintain functionality of office equipment.
  • Make informed decisions relative to process and needs.
  • Provide document production services to all departments including the operation of sophisticated document production equipment to meet the rigorous quality and timeliness requirements of our internal customers.
  • Support the operation of video conference facilities.
  • Provide support to all staff with respect to office technology issues.
  • Provide training and support in the operation of printers, fax machines, photocopiers, telephone system and Blackberries.
  • Ensure basic functionality for core business software applications including the membership database (MemberPro) and Microsoft Office (Word, Excel, Outlook).
  • In conjunction with the Business Technology department, resolve less complex desktop computer issues staff encounter from time to time (login issues, simple application issues, setting up workstations).
  • Assist all departments in basic administration duties including photocopying/stocking materials, preparing regulatory and other binders, etc.
  • Plan, coordinate, and execute the maintenance of printer, photocopier, fax, and mailroom equipment fleet.
  • Ensure incoming mail (including courier) and faxes are distributed to the relevant parties in an accurate and timely manner.
  • Act as backup for reception as required.
  • Other tasks as assigned.

Required Skills and Qualifications

  • Experience with document production, printer and photocopier technologies.
  • A fundamental understanding of and exposure to office productivity related information technology hardware and software including an interest in continuous learning in this constantly changing area.
  • Strong organizational skills, a self-starter and able to prioritize and complete tasks in an efficient manner.
  • Must possess excellent grammar, communication skills (written and verbal), time management skills, and telephone and listening skills.
  • Well-developed problem solving skills.
  • A team oriented individual who is flexible, adaptable and comfortable in a fast-paced, multi-tasking environment.
  • Able to demonstrate excellent attention to detail.
  • Capable of working independently with minimal supervision or direction.
  • Experience with providing reception experience.
  • Experience working in a law office is a must.
