Project Administrator, Toronto, contract to permanent

Hays Property & Construction has partnered with a full integrated real estate services provider in the Greater Toronto Area. Handling all aspects of land acquisitions, development, project and construction management, this real estate company is growing and is seeking a Project Administrator to join their team for a 2 month contract to permanent opportunity. This position is based in Toronto (Don Mills & York Mills).

Your new role
Responsibilities of the Project Administrator position consist of, but are not limited to:

  • Co-ordination of working drawing meetings
  • Preparation and distribution of working drawing meetings
  • Co-ordination of Site meeting invites
  • Preparation and distribution of site meeting minutes
  • Prepare and arrange tender package distribution
  • Creation and distribution of contracts in software
  • Preparation of health and safety documents for project sites
  • Follow-up with trades on invoices and supporting documents for release of lien holdbacks
  • Setup of new project filing system
  • Other duties to support the construction team, as required
  • Answer and route telephone calls/inquiries to the appropriate person or department
  • Greet all visitors, determine nature of their business and direct to the appropriate person
  • Review, sort, open and date stamp all incoming mail, including invoices sent online
  • Arrange for incoming/outgoing couriers
  • Order all office supplies for head office and construction site personnel, as needed
  • Arrange service calls for photocopiers & postage machines and including order of all applicable supplies, as required
  • Other duties as assigned


What you'll need to succeed

  • College degree at a minimum
  • 5+ years of experience working in a fast-paced real estate company
  • Ability to self-prioritize with minimal supervision
  • Self-motivated and proactive
  • Ability to work in a fast-paced, collaborative, and results driven environment
  • Exceptional organizational skills including verbal and written communication
  • Excellent command of MS Office, particularly Excel, Word and Outlook; proficiency with Construction Software such as Newstar/REMS is a bonus
