Job description:
QUALIFICATIONS NECESSARY TO DO THE JOB:
- High school diploma
- Professional business like appearance
- Energetic, friendly and outgoing personality
- Good English communication skills (both written and verbal) and ability to write business correspondence, memos, meeting presentations and minutes
- Computer literate, proficient in Microsoft Word, Excel and Power Point
- Detail and customer oriented
DESIRABLE ADDITIONAL QUALIFICATIONS:
- Familiarity with phone systems
- Experience in answering phone is an asset
- Ability to add, subtract, multiply and divide
- Ability to apply commonsense understanding to carry out instructions furnished in written or oral format
- Ability to deal with daily problems at reception
- Organized
MAIN DUTIES AND ACTIVITES OF JOB:
• Greet visitors
• Responsible for answering incoming calls and directs callers to destination
• Obtains caller’s name and arranges for appointment with person called upon
• Types memos, correspondence, reports and other documents
• Issues visitor’s pass when required
• Collects and distributes mail, messages and faxes
• Controls and places stationary orders
• Performs variety of clerical duties as required by Senior Management
• Update and maintain contractors Database (WSIB)
• Facilitate and connect visitors with their hosts
• Verify visitors are properly signed in
• Verifies contractors credentials, WSIB coverage, general liability insurance, and completion of Mytox health, safety and environmental orientation and training
• Maintain Mytox safety standards in reception area, copier, lobby, office supply room and kitchen
• Organizes travel and some offsite events
• Organize monthly prizes
• Organize senior management meetings
• Administers the use of company vehicles
• Update and maintain manifest log (soft copy on P-Drive and hardcopy in the binder)
• Update and maintain HSE communication log (soft copy on P-Drive and hardcopy in the binder)
• Update and maintain workplace inspection report and tracking sheet (soft copy on P-Drive and hardcopy in the binder)
• Update and maintain safety talk attendance sheet and tracking sheet (soft copy on P-Drive and hardcopy in the binder)
• Any other reasonable request by management
